Red Flags When Booking a Lodge or Retreat Center in the San Bernardino Mountains
Nine warning signs to check before you sign with a mountain venue for a retreat, offsite, or group event, and what a straight answer looks like.
The short answer. The red flags that cost groups the most in the San Bernardino Mountains are vague answers on exclusivity, an access road nobody mentions until the contract is signed, a sleeping capacity that turns out to include couches, no named person on site, food that has to be trucked up the hill, winter access that depends on luck, a calendar that does not show your dates as truly open, vendors who have never worked at altitude, and a quote that leaves lodging and meals off the page. Sunstone publishes its answers to each of these below so you can compare them against any other venue.

Red flag one: nobody will say whether the property is exclusively yours
If a venue cannot confirm in writing that no other group or guest will be on the property during your dates, assume they will be. Sunstone books retreats and events as full-property bookings, with no other guests and no second event on the land.
Red flag two: the access road is a surprise
Mountain venues sometimes sit at the end of unpaved or single-lane roads that catering trucks and passenger vans handle poorly. Ask for the route, the last paved mile, and the winter plan. Sunstone is reached on maintained roads through Big Bear, a mountain town with a ski economy and year-round plowing.
Red flag three: sleeping capacity includes couches and floors
Ask how many real beds exist and how they are split. Sunstone sleeps 40 across private rooms in the Lodge, four private cabins that sleep four each with a full kitchen, deck, jacuzzi tub, and wood-burning fireplace, and shared accommodation for those who want the group.
Red flag four: no named host on site
A venue that hands you keys and a phone number is not hosting you. Sunstone does pre-retreat planning and logistics with you ahead of time, then hosts on site with support across all accommodations, cleaning and turnover, and food service while your group is on the mountain.
Red flag five: meals depend on a caterer driving up the hill
Food that arrives cold or late is the most common complaint at remote venues. Sunstone has full catering capability on the property, breakfast through dinner, cooked on site and served indoors or on the lawn.
Red flag six: the calendar does not show real availability
Some venues advertise dates that internal programming has already committed. Sunstone is the home of Sacred Sons and publishes the Sacred Sons calendar on this site, so you can see which weekends are committed before you inquire and ask about full-property dates that are not shown.
Red flag seven: winter is treated as an afterthought
A venue that goes quiet about December through March may be closing or gambling on the weather. Sunstone operates year-round, with fireplaces in every cabin, indoor gathering space in the Lodge, and heating included in the standard structures package for outdoor portions.
Red flag eight: vendors have never worked at altitude
At 8,200 feet equipment, cooking times, and guest comfort all behave differently. Ask whether the venue's vendors have worked the property before. Every vendor Sunstone coordinates has.
Red flag nine: the quote leaves lodging and meals off the page
A low venue fee with lodging, meals, structures, heating, and coordination sold separately is not a low price. Ask for one written quote that lists what is included. Sunstone quotes per date and per scope with lodging, spaces, gym, trail access, and a coordinator in the property booking, and catering and production coordinated through one contact.
